If you enjoy meeting people and want a steady, respectable office career, the front desk is a great place to start. Corporate offices, hotels, hospitals, schools, showrooms and coaching institutes all need someone to welcome visitors, manage calls and keep the day organised. Here is what the role really involves and how to get selected, based on what our recruiters at GRPL India see when filling receptionist roles.
What front desk staff actually do
You may see the role called receptionist, front office assistant, front desk executive or guest relations executive. Core duties are similar everywhere:
- Welcoming visitors and directing them to the right person
- Managing the main phone line – answering, transferring and taking messages
- Visitor records – the register or digital entry system, and visitor passes
- Calendars and meeting rooms for managers
- Couriers and mail – receiving, dispatching and logging
- Light admin – data entry, filing, petty cash, stationery, coordination with housekeeping and security
Hotels add check-in/check-out, room allocation and billing; hospitals add patient registration, appointment scheduling and guiding patients to departments.
Four types of employer
Corporate offices
Companies, bank and insurance branches and consultancies hire front desk staff on day shifts – the most common route for graduates without hospitality training.
Hotels and hospitality
Hotels, resorts and banquet venues hire front office associates for rotating shifts. A hotel management diploma helps, though many hotels train fresh graduates. Certifications from the Tourism & Hospitality Skill Council (THSC) strengthen a hotel application.
Healthcare
Hospital, clinic and diagnostic-centre front desks are busy and need calm, organised people comfortable with patient records.
Schools, coaching centres and showrooms
Here you explain courses or products, handle enquiries and follow up with walk-ins.
Skills that get you shortlisted
- Communication: clear, polite Hindi and English. Interviewers judge your greeting, speech and listening within the first two minutes.
- Computer basics: Word, Excel, email and data entry. Visitor or hotel software is learned on the job; free courses on Skill India Digital help beforehand.
- Grooming and body language: you are the first face of the company.
- Multitasking: a ringing phone, a waiting guest and a courier at once – staying calm is the skill.
- Trustworthiness: you'll see schedules, visitor data and sometimes cash.
Qualifications and documents
Most employers want a graduate in any stream; some offices and showrooms accept 12th-pass candidates with strong communication. Diplomas in hotel management, front office operations or office administration are a plus. Keeping certificates in DigiLocker makes sharing verified copies easy.
Interview questions – and how to handle them
- "Tell me about yourself." Keep it brief and link your strengths to customer service.
- "An angry visitor is at the desk – what do you do?" Listen calmly, apologise for the trouble, bring in the right person and follow up.
- "Two lines ring while a guest is waiting." Acknowledge the guest, take the call briefly, then return – show polite prioritisation.
- "How good is your Excel?" Be honest and specific – sorting, simple lists, basic formulas.
- "Why front office?" Talk about enjoying people, communication and organised work.
Practise aloud and run a mock phone call with a friend so you sound natural.
