Hiring Too Slow? 9 Ways Indian Companies Can Fill Vacancies Faster Without Cutting Corners

Slow hiring costs output and loses good candidates. Nine practical fixes to tighten your process while keeping quality checks intact.

Hiring Too Slow? 9 Ways Indian Companies Can Fill Vacancies Faster Without Cutting Corners

Every day a sales territory, branch counter or warehouse shift sits empty, output drops and your team carries the extra load. Many Indian companies still take weeks to close even entry-level roles – and lose strong candidates to faster competitors on the way. The fix is rarely "more effort"; it is a tighter process. These nine steps come from GRPL India's experience hiring for clients across sectors.

First, know which clock you're measuring

  • Time to hire – days from a candidate entering your process (applying or being sourced) to accepting the offer. It shows how fast your team moves once it has found someone.
  • Time to fill – days from the requisition being approved or posted to offer acceptance. It includes the time spent finding people.

Track both. A long time to fill usually signals a sourcing problem; a long time to hire points to slow screening, too many rounds or delayed decisions.

Why delays hurt more in India

  • Multiple offers – strong sales, banking and IT candidates rarely wait.
  • Notice periods of one to three months push joining dates further with every lost week.
  • Dropouts and counter-offers rise as the interview-to-offer gap widens.
  • Vacancy cost – missed targets, delayed orders, repeat ads and overtime.

The 9 steps

1. Map your current timeline

For your last few hires, note the date of each stage – requisition, posting, first CV, first and final interview, offer, acceptance. One or two stages usually account for most of the idle days.

2. Lock role and budget before posting

Agree title, salary band, reporting manager, location and headcount upfront. Changing the band mid-process forces you to restart conversations.

3. Write a specific job description

State must-have skills, location, salary range, hours and field travel. Vague posts attract floods of unsuitable CVs. See our guide to writing job descriptions that attract the right people.

4. Source on several channels in parallel

  • Job portals and the free National Career Service portal
  • Employee referrals with a simple reward
  • Your database of past applicants
  • Campus and ITI connects for entry-level roles
  • A recruitment partner for urgent or volume needs

5. Screen with knockout questions

Three to five deal-breakers before any interview – "Do you have a two-wheeler and licence?", "Are you comfortable with field work across Lucknow and nearby districts?", "Can you join within 15 days?" A five-minute call saves hours.

6. Trim interview rounds

Two rounds – recruiter/HR and hiring manager – suffice for most frontline and mid-level roles. Also:

  • Block fixed weekly interview slots in managers' calendars
  • Run same-day walk-in drives for bulk roles
  • Combine tests (typing, role-play) with the interview day
  • Use video interviews for out-of-city candidates

7. Decide within 24–48 hours

Agree criteria before interviews and use a simple scorecard. Silence after an interview is one of the top reasons candidates lose interest.

8. Offer fast, then stay in touch

Send the offer as soon as you decide, explain fixed pay, incentives and deductions clearly, and issue a written appointment letter – now mandatory under India's labour codes. Until joining, keep contact with a welcome call, joining checklist and manager introduction to prevent last-minute dropouts.

9. Bring in a partner for volume or urgency

Need 20 field sales executives across UP or a new warehouse staffed in weeks? A recruitment partner with a ready, pre-screened pool and local networks cuts sourcing time sharply. Choose one that knows your industry and locations and stays involved until joining.

Faster – but never careless

Keep reference checks for experienced hires, ID and document verification, background checks for roles handling cash, customer data or high-value stock, and a clear probation review. The aim is to remove waiting time, not quality control.

FAQs

What is a good time to hire?
It varies with role, seniority and location. Entry-level and bulk roles can close in days; specialised roles take longer. Set your own baseline and improve on it.

How can small businesses hire faster?
Clear JD, quick phone screen, one or two rounds and fast decisions – plus a recruitment partner if you lack in-house HR.

How do I reduce offer dropouts?
Offer quickly, explain pay honestly, issue a written appointment letter and keep in regular contact until day one.

Does an agency really speed things up?
A good agency with an active, pre-screened pool shortens sourcing and screening considerably, especially for volume or out-of-city roles.
